Ruthless on the email

Does anyone else share my experience with work email?

It just piles up and up.. and at my work they don't allocate enough mailbox space (only 75meg), so i'm constantly trying to clean it out.

Well just then I got sick of it fluctating between 90 and 99% full, so I went ruthless and deleted 2000 sent items (out of the 4000 that were in there). Deleted all the old stuff up to the end of last year.

I figured if I hadn't needed it in the last 5 months, it's time to go.

Down to 78% now.. better, but still not good. Gotta be more ruthless in my received items I think.

not sure how much room i am give, but i always keep it under control. if there is info i need a copy and paste it elsewhere. and i use my work email ONLY for work which helps too....

i only recieve a dozen emails per day in my work email.

Nope, I'm obsessive about filing it away in the correct project folders as soon as possible.

Also since forwarding all my email through Gmail my incidence of SPAM has gone from ~10/day to less than 1/week.

ah! Now there's a thought!

I can get between 20 and 80 work emails a day, so it adds up.. especially when they send big design documents that take up 2 meg straight away!

Delete the lot. If it's important they'll send it again, and if it's one you sent then someone will have a copy of it somewhere

Hi Mike, I suffer this to, used have a 20Meg limit at work at least it's now 100meg. Still I regularly archived stuff off to my C drive...never delete anything though and it's saved my bacon a few time

E-mail is a curse...but, I guess that is progress for you...the joy of a "paperless" world...

I get many e-mails a day...I handle them once...I read and delete or move to an appropriate folder...

Rule of thumb, if I am only cc'd I delete it...
Before I read anything I look for the "last in series" and delete all previous versions...

It is true that if it is important people will send another message...if it is really important they will call...

wouldnt be a little sarcasm would it Mr salway?

i asume you have large attachments to emails? upload them and store them somewhere so the email can be deleted?

I only ever delete corporate notice type stuff (spam to me).
Theres just too much stuff I have to keep referring back to .

Technical notes, and Supplier and repair agents contact info I cannot afford to loose. I wont archive it to my C drive because that doesnt get backed up.

I actually work in IT support for one of the big banks and this is a constant problem for people. Our solution is archiving: as h0ughy mentioned, create PST files. The process seems a lot more intimidating then it really is, it's very easy once you've done it once or twice, but do NOT put them on your C drive! C drives are fragile, it doesn't happen often but in out 1000 user building, we have a hard drive die every couple of weeks, and then the data is gone for good!

Back up PST files onto CD or a network drive if you have it.

look up "create office data file" or simply "archive" in outlook help and it will walk you through the process.

Quite right.

The allocation refers to the space reserved on the Outlook server, and users can create their own data files to store as much as they like. You can link permanently to these within outlook and file your mail accordingly without the IT dept giving you grief. BUT, as was already mentioned, place this folder somewhere that gets backed up, which is probably NOT your c drive.

Chuck the junk, back to a corporate server and burn the really important stuff to a DVD as well. Saved my a** a couple of times.

Basically I agree that email is the curse of the world. In the good old paper days someone had to actually write a memo and post it which meant it was often easier to do the job yourself. Now they just forward the email to you and say they have done their bit......

My work email hole is unlimited however I do not leave anything on the server as it would soon turn into a nightmare.
Everyday I recieve at least 400 emails (many are spam), I keep 12 months worth of emails in Outlook and that currently totals close to 30000....
